Privacy and confidentiality policy.
How we collect, use, store and protect personal and sensitive information.
Applies to participants, parents or guardians, staff, contractors, and incident records. Effective 25 March 2026. Reviewed annually.
1. Information we collect
- Participant names, dates of birth, and contact details
- Parent, guardian, nominee, and emergency contact information
- Medical information, disability-related support needs, and practical participation information relevant to safety
- Incident, injury, and complaint records
- Photos or videos where consent has been provided
2. How we use information
- To support participant safety and wellbeing
- To deliver sessions appropriately and make reasonable adjustments
- To communicate with parents, guardians, nominees, or plan managers where relevant
- To meet legal, insurance, and NDIS administration requirements
3. Storage and security
- Secure digital storage with limited access to authorised personnel
- Files and systems protected with passwords or equivalent controls
- Information retained only for as long as reasonably required
4. Disclosure and consent
Personal information is only shared with consent, where required by law, where necessary to protect a child or others, or where emergency services or insurers require relevant details.
Information will not be shared for unrelated third-party marketing purposes without consent.
5. Access, correction, and breaches
- Parents or guardians may request access to or correction of relevant information at any time
- Actual or suspected privacy breaches will be managed promptly and escalated where required
6. Review
This policy is reviewed annually or earlier if legislative or operational changes require it.
